Reporting in Microsoft Dynamics GP

Edit Cheque Batch
Dynamics GP Version 9 introduced a new purchase ledger screen to assist with creating and editing purchase ledger cheque batches.Selecting Transactions>Purchasing>Edit Cheque Batch lets you create a new cheque batch or modify an existing one. You simply mark suppliers you want to pay and then select or deselect invoices with a simple check box.

In addition

  • You can change which columns are displayed to show additional information, using the Columns controls.
  • Change the order the information is displayed in by clicking on the column headings.
  • Drill down on the amount paid to check the payment details.
  • Print the batch edit list using the printer control at top right.

 

Receivables Paid Transaction Removal
If you have a large number of receivables transactions it can take a long time to populate the Collections Management Transactions Inquiry window when trying to make notes in Collections Management or printing receivables Statements.The solution is to run the Routines>Sales>Paid Transaction Removal process (run it first in Project Accounting if using PA). Paid transaction removal is something of a misnomer, it doesn’t delete transactions but moves them from the open table to the history table. This speeds up population of the Collections Main Transactions Inquiry window or printing of receivables Statements because Dynamics GP doesn’t have to sort through all the paid transactions.

User Preferences
The User Preferences window allows users to setup their personal preferences, these settings are saved on a per user basis.Login to Dynamics GP as the user you want to make the settings for, then go to either Tools >> Setup >> User Preferences or select the User Preferences option from the Navigation Pane/Shortcut Bar.

Features of note are:

Horizontal Scroll Arrows option: For companies with account numbers longer than the entry screen, you can mark this option to allow users to scroll back and forth to see the whole account number.

Entry Key: This determines which key is used to move between fields on a window.

Default Sales Doc. Type: This sets the default document type for the Sales Transaction Entry window.

Mapping: This controls how GP integrates with Microsoft MapPoint. You can either turn this feature off or choose between using a local copy of MapPoint or use MapPoint on the Web. With the MapPoint option enabled, on a variety of forms you’ll see a small yellow and green push pin icon next to an address ID. Clicking this takes you to Windows Live local maps and in most cases you get a map and aerial view of the location.

Reminders: Use the Reminder Preferences window to specify events to be reminded of & how often to do so. You can create new reminders based on Smartlist Favourites and the criteria you specify are met.

Display: Use the User Display Preferences window to change how Links & Required fields appear on windows.

Account Rollup Enquiry
Account Rollup is an enquiry that you build which allows you to see different GL accounts rolled up together. Additionally, you can perform calculations on those accounts.You could use this for things like:

  • What’s the Fixed Asset total across all divisions?
  • What’s the commission allocation based on sales?

In Dynamics GP, select Enquiry->Financial->Account Rollup. Enter an Option ID, tab and click yes to add the option.

Set the number of columns you want to see at the top on the right hand side. If all you want is totals, one column is fine. For calculations, you need to use at least 2 columns.

In the centre, you set the types of columns. At the bottom, you add criteria like accounts, departments, divisions, etc. UNLIKE OTHER GP criteria areas, you can add multiple independent criteria here. So if you want to see department 110 & 112 but not 111. You add just 110, then add 112.

Save and click Redisplay. Controls on the right let you see Net Change or Period Balance totals. If you want to see what makes up the total number, select a month and click the blue column header.

Navigation Pane & Lists
When you choose Financial from the Navigation Pane on the left the home page is replaced with a Financial home page and a new set of lists is available on the left. The same applies when selecting Sales, Purchasing, Inventory or Project Accounting.The main pane on the right changes to fit the Navigation selection on the left. This means that if a user picks Chequebook on the left, they get chequebook related data and a Chequebook contextual selection on the top.

The data on this screen can be filtered to limit what a user sees. It can be added to the home page and easily sent to Excel and you can drill back to the underlying record.

 

Financial Lists
  • Correcting a Journal Entry can be performed by selecting Account Transactions and then marking the transactions in the list returned, then clicking the Back Out or Correct Journal icon.
  • Trial Balance reports can be printed for an ad-hoc selection of Accounts by selecting Accounts, marking  the necessary accounts, then selecting Reports and Print Trial Balance.
  • New journal entries can be created directly from this screen along with most other financial functions like posting transactions, creating new accounts and generating reports.
Sales Lists
  • When selecting Customers from the list choice on the left then customer data appears on the right with details on a selected customer at the bottom. You can easily apply a filter to limit this to customers by using the filter at the top. Clicking Customers (Read Only) above the filter drops down a menu that allows you to save and name this filter. Like SmartLists, this filtered list is now available on the left below Customers.
  • Clicking the check box next to a customer allows you to manage that customer. With a single click you can manage functions like customer’s aging, open payment application, print statements or collection letters and apply or delete holds.
  • Selecting multiple customers allows you to perform customer aging, print statements and print Aged Trial Balance & Historical Aged Trial Balance reports for the just the selected customers.
  • With the GoTo section on the right you can select to view transactions for this customer. What happens when you click this is that a new window opens up with a Sales Transaction List filtered for that customer. It does NOT take you to the Transaction Inquiry by Customer. By opening a filtered transaction list based on that customer you’re now able to use a new ribbon bar to confirm picking, mark a record as shipped, etc.

 

Purchasing Lists
  • When selecting Creditors from the list choice on the left then creditor data appears on the right with details on a selected creditor at the bottom. You can easily apply a filter to limit this to creditor by using the filter at the top. Clicking Creditor (Read Only) above the filter drops down a menu that allows you to save and name this filter. Like SmartLists, this filtered list is now available on the left below Creditors.
  • Selecting multiple creditors allows you to apply holds and print Aged Trial Balance & Historical Aged Trial Balance reports for the just the selected creditors.
  • With the GoTo section on the right you can select to view transactions for this creditor. What happens when you click this is that a new window opens up with a Purchasing Transaction List filtered for that creditor. It does NOT take you to the Transaction Inquiry by Creditor. Automated Solutions
Automated Solutions are used to simplify certain tasks which would otherwise require knowledge of SQL Server and access to the SQL Server Management Tools. Automated solutions are available for most modules in Dynamics GP and can be used to clear problems typically encountered in the course of using Dynamics GP such as:-

  • Batches stuck in posting/cannot post batch.
  • Remove user activity for stranded users.
  • Purchase Order being edited by another user.
  • Document being edit by another user.
  • Purchase Order Processing Auto-Receiving interruption.
  • Copy setup information between companies.
  • Performs basic checks on your general ledger data to assist with closing your financial year.
  • Automated Solutions are available for Dynamics GP 10.0, Dynamics GP 9.0 and Microsoft Great Plains 8.0. You will need your Customer Source logins to be able to download these.

 

Advanced Lookups
Advanced lookups are selected Microsoft Dynamics GP lookup windows with extra capabilities that you can use to quickly look up records within the lookup window and use an advanced search option to locate information by almost any field in the database.Advanced search

View menu

  • Use the Advanced Search to add additional search criteria in the same way that you can with Smartlist.
  • Use the View menu to search from a list of pre-defined SmartList queries including SmartList favourites you have created yourself.
  • Use the Additional Sorts to display another column of information and to sort by it. You can sort by the default column headings by clicking the column headings listed.

Using toolbars
Toolbars can be used as a shortcut to access Dynamics windows and are customisable on a per users basis. There are toolbars for each series (Financial, Sales Purchasing etc.) as well as a ‘Standard’ toolbar which has some pre-defined shortcuts to Smartlist, Navigation Pane & the Home Page and a ‘Custom’ toolbar which you can customise to your own requirements. 

  • You can choose which toolbars to display

Dynamics GP v8.0 & v9.0

Use the View>Toolbars menu option.

Dynamics GP 10.0

Right-click the toolbar area or choose Toolbars from the Layout menu.

  • You can customise the toolbars visible to you. You can add or remove commands to toolbars, as  well as customize the appearance of commands.

Dynamics GP v8.0 & v9.0

Use the View>Toolbars>Customise menu option.

Dynamics GP 10.0

Right-click the toolbar area or choose Customise from the Layout menu.

Select a toolbar to customise, you can then choose to add, remove, re-order or modify how a command appears.

For example, you could choose to display just the text for a command – choose a toolbar from the drop-down list. Select a command in the controls pane, then choose Modify Selection >> Text Only, or rename a command – choose a toolbar from the drop-down list. Select a command in the controls pane, then choose Modify Selection >>Name. Click OK to apply the changes.

Toolbars are only available in Dynamics GP version 8.0 or later.

 

 

Using shortcuts in the navigation pane
 You can create shortcuts to the windows, Smartlist favourites, macros, applications, and web sites that you frequently use in the navigation pane.

To display the navigation pane

Choose Navigation Pane from the Layout menu

For example

To create a shortcut to the current Microsoft Dynamics GP window:

1. Open the window in Dynamics GP.

2. Choose Add>>Current Window from the Navigation Pane.

Dynamics GP v10.0

1. Open the window to add a shortcut for.

2. Choose File >> Add to Shortcuts.

To create a shortcut to a SmartList favourite:

1. Right-click anywhere in the list of shortcuts and choose Add >> Add SmartList.

2. From the list of available SmartList favourites, locate and select the favourite to create a shortcut for. The favourite will appear in the SmartList favourite field.

3. Accept or enter the name for the SmartList favourite in the Name field.

4. Choose Done to close the Add SmartList favourite Shortcut window.

In addition you can create shortcuts to Internet Explorer web pages(Add>>Web Page), external programs (Add>>Add External Shortcut) such as the Windows calculator and organise your shortcuts by grouping the shortcuts in folders.

The Navigation Pane is only available in Dynamics GP version 8.0 or later.

Using keyboard shortcuts
Thanks to the extensive support for keyboard shortcuts since the early versions there are a number of ways in which these can be made use of.Common shortcuts

The default for moving to the next field is tab.

Move to previous field shift + tab.

Move from scrolling window to next field ctrl + tab

E.g. Move from the ‘Item Number’ field to the ‘Trade Discount’ field.

Move from scrolling window to previous field shift + ctrl + tab

To open the lookup window ctrl + L

Print a report (where available) for the current window ctrl + p

Close the current window

Prior to V10 ctrl + F4

V10 ctrl + w

Close the application alt + F4

Home page shortcuts applicable to v10 only.

Navigation pane button ctrl + number of navigation pane button. For example, press ctrl + 2 to activate the second navigation pane button.

There are also window specific shortcuts, please let me know if you are interested in finding out more about these. 

Date fields
 Date fields

If you enter just the day, it will automatically fill in the current month and year:

E.g. enter 06 and the month and year will be filled in when you tab off the field. 

Clicking on the calendar icon and then the month allows you to select a month.

Clicking the calendar icon and then the year allows you to change the year.

This is only applicable to Dynamics GP 9.0 and later.


GP Hints and Tips No2 – Feb 09

Welcome to the February edition of the Hints and Tips newsletters for Dynamics GP users. This month I am covering:

  • Duplicate a Journal Entry. 
  • Copy a Purchase Order.

 

 

Duplicate a Journal Entry
Say you entered a one-off journal last month and now find you have to enter the same journal with a few changes. Is there an easy way to key it again? Even with a few changes?This can easily be accomplished using the Correct Journal Entry function:-Go to Transactions->Financial->General. Create a new journal entry and click the Correct button. Follow the prompts and find or key the journal entry from last month selecting Back Out and Correct. When done, you’ll have two journal entries, the backout entry and the correcting entry. Delete the backout journal entry and now all that is left is the correcting journal entry that looks like last month’s journal entry, has today’s date and will let you make changes.

Easy enough. Just don’t forget to delete the backout entry!

The Correct Journal Entry function is available in Dynamics GP 8.0 and later. 

 

Copy a Purchase Order
If you’re working in Dynamics GP and realise that you need a purchase order that is similar to one you have entered before then you can use the Create and Copy New PO function to create a new purchase order that looks like the original one you entered.To use the Create and Copy New PO go to Transactions->Purchasing->Purchase Order Entry. Click the Actions button and choose the Create and Copy New PO option. A window will pop up prompting for the source purchase order and then you get to tailor the new purchase order that gets created. You can set the Vendor, Currency, Customer, Dates, Sites and Cost options. Also you can optionally:

  • Copy all P.O. lines.
  • Include cancelled lines.
  • Include cancelled quantities.
  • Display the new PO when done.
  • Copy freight, miscellaneous or shipping amounts from the original.
  • Copy Ship to Address, method and Tax ID from the source PO.

After making your choices, click copy and you’ve got a new purchase order that you can save or continue to modify. It’s a quick and efficient way to duplicate a purchase order, especially a complex one. Also copying a purchase order adds a level of consistency that re-keying may not.

The Create and Copy New PO function is available in Dynamics GP 9.0 and later.


Microsoft Dynamics CRM Roadmap

Microsoft released Dynamics CRM in 2003 with version 1 and 1.2 followed by a Version 3.0 in December 2005.  The current release, Version 4.0 came out in 2007 with enhanced CRM capabilities across Sales Marketing and Service. The CRM 4.o architecture supports mult-currency, multi language and multi-tenancy for Enterprise and on-demand CRM deployments.  The worfklow engine in CRM 4.0 has been significantly improved and strengthened and now runs on the enterprise Windows Workflow foundation.

The recent release of CRM Mobile Express enables on line access to Microsoft Dynamics CRM 4.0 from any web enabled device such as a Windows Smartphone.  The Mobile Express client enables users to view, create and modify their CRM data on almost any internet capable device.

Accelerators for Microsoft Dynamics CRM 4.0
In late 2008 and early 2009 Microsoft released the first wave of accelerators for CRM V4.0.  Accelerators are a range of  free of charge add-on solutions developed for Microsoft Dynamics CRM 4.0.
These included:

  • Analytics
    Comprising SQL Reporting Services pre-configured dashoboards
  • eService
    Enabling Customer web self service access to CRM
  • Event Management
    Allowing companies to easily manage the planning, execution, tracking and reporting for events
  • Enterprise Search
    Allows Microsoft Office SharePoint Server 2007  (MOSS) customers to view and search for Microsoft Dynamics CRM data directly from their SharePoint portals.
  • Sales Methodologies
  • Extended Sales Forecasting
    Provides the ability for sales users to quickly and easily review and manage their sales pipeline and for Sales managers to monitor and track sales targets, budgets and performance against forecast.
  • CRM Notifications
    This allows Users to subscribe to the “business events” in CRM that are relevant to the particular Users.  For example a  sales person could subscribe to new leads assigned to them as an RSS feed.
  • Business Productivity
    This is a toolkit of timesaving customisations and workflows.

Microsoft CRM V.Next

Development and testing of the next release of Microsoft Dynamics CRM is well underway.  The investment for the next release falls into 3 broad categories:

  • Deliver a new level of user productivity and collaberation capabilities
  • Continued enrichment of the core CRM capabilities.
  • Provide a best of breed business solution platform.
